Authorization to publish

Pursuant to Circulars No. 33 of September 7, 2017, and No. 39 of September 29, 2017, issued by Service II of the General Directorate for Archives, to publish a reproduction of an archival document or part thereof on a non-profit basis—in books, newspapers, magazines, CD-ROMs, websites, posters, invitations, etc.—it is necessary to send a simple notification of the intention to publish the image to the institution holding the asset. The following conditions apply:

- cite the source in the publication;

- include the exact shelfmark of the document in the publication;

- submit an analog or digital copy of the work and a copy of the reproduction.

Publications that meet the following characteristics are considered non-profit:

- if in paper form, have a print run of fewer than 2,000 copies and a cover price of no more than €70, or are scientific periodicals;

- if online, publications that pursue scientific or educational purposes, do not benefit from advertising or commercial insertions, and are not subject to paid access.

Regarding publications for profit—in books, newspapers, magazines, CD-ROMs, websites, posters, invitations, etc.—reproducing an archival document or part thereof, authorization must be requested from the Directorate of the State Archives on legal paper (with a revenue stamp for administrative use).

The publication must include:

- the exact signature of the document;

- the mention "by concession of the Ministry of Culture – State Archives of Pesaro Urbino";

- the authorization details.

Three copies of the publication using the aforementioned documents are required.

Authorization to publish is subject to the payment of reproduction fees, which must be paid using the PagoPa digital platform.

Currently, this matter is regulated by Legislative Decree no. 42/2004, "Code of Cultural Heritage and Landscape", Section II. Article 108, paragraph 6, of this Decree states: "The minimum amounts of fees and charges for the use and reproduction of assets are established by a provision of the granting authority."
